As students plan the conference in most every aspect, the Executive Committee elects leaders to seven officer positions each year. In order to be elected, anyone interested must fill out the application on the next page and provide a reference who can attest to his or her qualifications.

Each officer will be held responsible for fulfilling one of the job descriptions below.

Conference Co-Chair
Two student co-chairs are elected to preside over the executive committee and its officers. They play a vital role in planning and running the conference. Their responsibilities include:

  1. Run each Executive Committee meeting efficiently.
  2. Check with the subcommittee chairs periodically by phone or e-mail to see that their assignments are being completed. Report progress back to the Co-Directors.
  3. Arrive at least two hours before each Executive Committee meeting to help with any last minute preparations.
  4. Participate in a thirty-minute conference call with the Co-Directors to plan the agenda for the next Executive Committee meeting and discuss tasks for follow-up.
  5. With the Secretaries, draft topics for discussion during discussion groups. These topics will be voted upon by the entire Executive Committee.
  6. For the conference day:
    • prepare a short welcoming and closing speech
    • attend to VIPs
    • talk with the press
    • assist with logistics

Secretaries
Two secretaries will be elected to record the committee's meetings and to help with administrative tasks. The secretaries will:

  1. Keep record of attendance and minutes of each Executive Committee meeting.
  2. Take stock of conference supplies, and serve as lead for ordering more supplies.
  3. Create the conference evaluations. Oversee tallying of evaluations.
  4. With the Co-Chairs, draft topics for discussion during discussion groups. These topics will be voted upon by the entire Executive Committee.

Performances Committee Chair
The Performances Committee is responsible for the conference day's registration period and opening and closing ceremonies. The committee, led by its chair, will:

  1. Arrive at least one hour before each Executive Committee meeting to help with any last minute preparations.
  2. Solicit educational and diversity materials for teachers. Organize registration and packets.
  3. Recruit and organize student performance groups for the registration period.
  4. Discuss and select the recipient for the Human Rights Award.
  5. Administer the conference scholarship process (though recipient will be determined by an outside panel).
  6. Discuss and select cultural performers for the opening and closing ceremonies.
  7. Discuss and make a recommendation of at least two keynote speakers for the entire Executive Committee to vote upon.

Workshops Committee Chair
The Workshops Committee is responsible for finding quality workshop presenters for the conference and ensuring all their needs are met for the conference day. The committee, led by its chair, will:

  1. Arrive at least one hour before each Executive Committee meeting to help with any last minute preparations.
  2. Create workshop request-for-presenters mailing, and monitor responses. Ensure enough presenters apply in order to select the best quality presentations across a variety of issues.
  3. Confirm workshops with presenters and organize supplies for the sessions. Follow up on panel discussions with each participant, not just the lead organizer.
  4. Create "promise cards" for school meeting session.
  5. Create seating charts for all rooms being used for the conference.
  6. Create signs for the entire conference.

Funding & Publicity Committee Chair
The Funding & Publicity Committee is responsible for getting as many people and as much money involved in the conference as possible. The committee, led by its chair, will:

  1. Arrive at least one hour before each Executive Committee meeting to help with any last minute preparations.
  2. Organize funding strategy and divide responsibilities for funding solicitations. Go on funding field trips during Executive Committee meetings to get in-kind donations from local food stores.
  3. Create funding packets.
  4. Monitor incoming donations and assess what purchases need to be made for food (breakfast, lunch and snacks).
  5. Recruit volunteers for the conference. Establish designated volunteer times and roles.
  6. Write the press release and contact local media for publicity exposure.
  7. Write letters to politicians and school officials inviting them to attend, or to send a letter of encouragement.
